How to Record a Webex Meeting on Mac (Not Just the Host)
Webex lets only the host record, and only if an admin allows it. 4 ways to record a Webex meeting on Mac, including from a participant's seat.
You open the Webex toolbar, look for Record, and it isn't there. Or it's there but greyed out. That's not a bug: in a standard Webex meeting, recording belongs to the host, and even the host only gets the "record to my computer" option when the site administrator has switched it on.
So if you're a participant who needs the training session, the client call, or the all-hands on your Mac, Webex itself won't help you. This guide covers the built-in recorder for when you are the host, and three Mac methods that work from any seat in the meeting.
Quick comparison
| Method | Price | Who can use it | Records Webex audio | Output |
|---|---|---|---|---|
| Webex Record button | Included with Webex | Host only (and only if the admin allows local recording) | Yes, with Computer audio selected | MP4 |
| Screenify Studio | Free; Pro $19/mo, $119/yr or $149 one-time | Anyone in the meeting | Yes, System Audio toggle | Edited MP4, share link |
| OBS Studio | Free, open source | Anyone | Yes, on macOS 13+ | MP4 or MKV |
| QuickTime + BlackHole | Free | Anyone | Yes, after audio routing | MOV |
Two minutes before the meeting: a checklist
Most ruined meeting recordings fail for boring reasons. Run through this before you join, whichever method you use:
- Free up disk space. An hour of screen recording can take several gigabytes. Check System Settings → General → Storage and clear room if you're under 10 GB.
- Turn on Do Not Disturb. Open Control Center and switch on a Focus mode, so iMessage banners and calendar alerts don't pop up over the recording (and so your personal messages don't end up in a video your manager watches).
- Plug in your MacBook. On battery, macOS can slow the processor down, and a Webex call plus a recorder is a lot of work for a laptop.
- Use headphones. If the meeting plays through your speakers, your microphone hears it a second time and the recording gets an echo.
- Decide what you need. If you only care about the slides someone shares, record just the Webex window. If you'll switch between Webex and your own notes, record the full screen.
- Do a ten-second test. Start a recording, talk, play a sound, stop, and play it back. It's much cheaper to discover a missing audio permission now than after a two-hour training.
Method 1: The Webex Record button (hosts only)
If you're hosting, start here. It costs nothing and the file lands on your Mac as an MP4.
What has to be true first
- You are the host. In a regular Webex meeting, participants can't record. The exception Cisco documents is Webex Training, where the host can hand a participant the presenter role.
- Your site administrator allows local recording. If the "record on this computer" option is missing from the Record menu, the admin has turned it off. Only they can turn it back on.
- Your audio is set to Computer audio. If you joined by phone or with another audio option, Webex warns you and records the meeting without sound.
- Everyone consents. Webex requires participants to agree before a meeting is recorded, summarized or transcribed.
Steps
- Start the meeting from the Webex app on your Mac and check that your audio connection says Computer audio.
- Click Record in the meeting controls.
- Choose the option to record on your computer, then click Record again to start.
- Need a break mid-meeting? Click Record and choose Pause, then Resume. You still end up with one file instead of several.
- Click Stop when you're done, or simply end the meeting.
- Webex writes the MP4 when the meeting ends. On a Mac it goes to your Home folder by default; some newer Webex builds use Downloads instead. Open Finder and check both if you can't spot it.
What you get, and what you don't
The file contains participant audio, participant video and anything shared on screen. It does not contain the chat panel, the participants list, transcripts, or files passed around with Share File. You also can't choose a layout, so whatever Webex decides to show is what you get.
That's fine for an archive. It's less fine if you want to send a ten-minute highlight to a colleague: you'll be trimming a raw MP4 in another app.
If your account also offers cloud recording, that's a separate option with its own storage and settings, managed in your Webex site. Cisco documents it in its own articles.
Method 2: Screenify Studio (works from any seat)
Screenify Studio doesn't ask Webex for permission. It records your Mac's screen and sound directly, so it works whether you're the host, a guest who joined from a link, or one of 200 attendees in a town hall. And instead of a raw file, you finish with a video that's ready to send.
Steps
- Download Screenify Studio and open it before the meeting starts. The first time, macOS asks for Screen Recording permission; allow it and reopen the app if asked.
- Join the Webex meeting as usual.
- In Screenify Studio, click Start Recording. The recording HUD appears with four sources.
- Choose Window, hover over the Webex meeting window until it's highlighted, and press Space. Only that window is recorded, so your Slack notifications and open tabs stay out of the video. If you drag the window to another spot, the capture follows it.
- Turn on System Audio so the other participants' voices are captured (this needs macOS 13 or later). Turn on your Microphone too if you'll be speaking. Screenify keeps your mic and the meeting sound as separate tracks, which matters later.
- Sit through the meeting. When it ends, press Esc. It works from any app, so you don't need to hunt for a stop button.
What happens after you stop
This is where it pulls ahead of a raw Webex file.
- Cut the dead air. AI Smart Clipping finds the silent stretches (the "can everyone hear me?" minutes, the wait for the last person to join) and trims them. It's on the free plan.
- Clean up your own voice. Noise Reduction takes the fan, air-conditioning hum and hiss out of your microphone track. Standard is included on every plan. Pro adds Studio mode, which clears even a loud fan and keyboard clatter.
- Make shared screens readable. When someone shares a dense spreadsheet in a Webex call, it's tiny in the recording. In the editor you can add zoom segments (press Z at the playhead) to punch in on the part that matters.
- Add captions. Pro's AI Captions turn the meeting audio into subtitles on your Mac, which helps when half the call has a bad microphone.
- Send a link instead of a file. In the export dialog choose Shareable link instead of MP4; Screenify Studio renders, uploads and hands you a URL to paste into Slack or email. The free plan includes 3 share links that last 7 days. Pro gives you unlimited links with no expiry.
About plans: the free plan records for as long as the meeting runs and exports 1080p videos up to 5 minutes with a watermark, which is enough for a highlight clip. To export the full hour in 4K without a watermark, Pro is $19 a month, $119 a year, or $149 one-time.
Why it fits Webex calls in particular
Webex meetings tend to be long and formal: trainings, customer onboarding, quarterly reviews. Nobody re-watches a 60-minute file from start to finish. They want the 8 minutes where the pricing changed or the trainer showed the setup steps. Recording a single window, trimming silence automatically and sending a link turns that 60-minute file into something a colleague will actually open.

Method 3: OBS Studio (free, more setup)
OBS is free and has no time limit. In exchange, you build the recording setup yourself.
Steps
- Install OBS from obsproject.com and open it. Approve the Screen Recording and Microphone prompts in System Settings → Privacy & Security.
- Under Scenes, click + and name the scene "Webex".
- Under Sources, click + → macOS Screen Capture. Set the method to window capture and pick the Webex meeting window from the list.
- Add the meeting sound: + → macOS Audio Capture, then choose the Webex app. This per-app capture requires macOS 13 Ventura or later. On older systems you need a virtual audio driver like BlackHole (Method 4).
- Add your voice: + → Audio Input Capture and pick your microphone.
- Open Settings → Output → Recording. Choose mp4 or mkv as the format (mkv survives a crash; you can remux it to mp4 later from the File menu) and pick the hardware encoder so the call doesn't stutter.
- Click Start Recording before the meeting gets going, and Stop Recording at the end. The file is in the folder you set.
Trade-offs
OBS hands you exactly what was on screen. There's no trimming, no silence removal and no captions, so a long Webex training comes out long. It also doesn't follow the meeting window if Webex pops into a new window when someone starts sharing; you may need to re-pick the window in the source settings.
Method 4: QuickTime Player + BlackHole
QuickTime Player is already on your Mac, but on its own it can't hear the other people in the meeting. macOS doesn't let QuickTime record system sound, so you route that sound through BlackHole, a free virtual audio driver.
Set up the audio route (once)
- Install BlackHole 2ch from existential.audio/blackhole.
- Open Audio MIDI Setup (Applications → Utilities).
- Click + → Create Multi-Output Device. Tick your headphones or speakers and BlackHole 2ch, with your headphones listed first.
- In System Settings → Sound → Output, select the new Multi-Output Device. You'll keep hearing the meeting while BlackHole receives a copy.
Record
- In QuickTime Player, choose File → New Screen Recording.
- Click Options and set the microphone to BlackHole 2ch.
- Select the Webex window area or the whole screen, then click Record.
- Stop from the menu bar icon when the meeting ends, and save the .mov file.
- Switch Sound → Output back to your normal device. While the Multi-Output Device is selected, the menu bar volume control doesn't work.
Trade-offs
Your own voice isn't included unless you build an Aggregate Device that combines BlackHole with your microphone, and then everything is mixed into one track. If your mic is noisy, there's no way to fix it afterwards without affecting everyone else's voices.
Consent: say it out loud
Webex asks participants to agree before its own recorder starts. A Mac screen recorder doesn't trigger that prompt, so the responsibility moves to you. Laws differ by country and by US state, and some require everyone on the call to agree. Company policies are often stricter than the law. The simple habit that covers all of it: tell the room at the start that you're recording, and stop if anyone objects.
Troubleshooting
The Record button is missing or greyed out
You're probably not the host. In a standard Webex meeting only the host records. If you are the host and the computer option is missing, your site administrator has disabled local recording. Ask them, or use one of the Mac methods above.
The Webex recording has no sound
The host's audio wasn't set to Computer audio. Webex shows a warning in this case, but it's easy to click past. Rejoin audio with Computer audio before the next recording.
I can't find the MP4 after the meeting
Webex saves the file when the meeting ends, not when you click Stop. Check your Home folder in Finder, then Downloads. Searching Finder for .mp4 files modified today also works.
My screen recording has video but no meeting audio
In Screenify Studio, check that System Audio is on before you start; it needs macOS 13 or later. In OBS, open the macOS Audio Capture source and confirm it points at Webex. With QuickTime, confirm Sound → Output is the Multi-Output Device and QuickTime's microphone is BlackHole.
The call stutters once the recording starts
Recording and video-conferencing both lean on the processor. Quit browsers with dozens of tabs, plug in the MacBook, and in OBS make sure the hardware encoder is selected. If Webex itself starts lagging, turn off your own camera for the rest of the meeting; the recording doesn't need it.
The shared screen is too small to read
Webex shrinks a shared screen to fit next to the video tiles. Ask the presenter to share a single app window rather than their whole display. After recording in Screenify Studio, add zoom segments on the parts people need to read.
FAQ
Can I record a Webex meeting if I'm not the host?
Not with the Webex recorder. In regular Webex meetings, recording is a host feature. A Mac screen recorder like Screenify Studio, OBS or QuickTime with BlackHole captures what's on your screen and what your Mac plays, so it works from any seat. Tell the other participants you're recording.
Where are Webex recordings saved on a Mac?
Local Webex recordings save as MP4 files to your Home folder by default. Some newer versions of the app save to Downloads instead. The file appears once the meeting has ended.
Does a Webex recording include the chat?
No. The local recording includes participant audio, video and shared content, but not the chat panel, the participants list, transcripts, or files sent through Share File. Copy the chat out of the meeting before it ends if you need it.
Why does my Webex recording have no audio?
The host was not connected with Computer audio. Webex can only include sound in a local recording when the host uses Computer audio, and it warns you when that isn't the case.
Can I record a Webex meeting for free on a Mac?
Yes. Hosts can use the built-in Record button if their admin allows it. Anyone can use OBS or QuickTime with BlackHole at no cost. Screenify Studio's free plan also records a full meeting; its free exports are 1080p, up to 5 minutes, with a watermark, and Pro exports the whole meeting in 4K without one.
Can I record only part of a Webex meeting?
Yes. With any of the Mac methods you can start and stop whenever you like. With the Webex recorder, the host can pause and resume and still get a single file. If you recorded the whole thing, cut it down afterwards: in Screenify Studio, split the timeline with S at the start and end of the part you want and delete the rest.
Will other participants know I'm recording with a screen recorder?
Webex can't detect a recording made by another app on your Mac, so it won't show a notice. That's exactly why you should announce it yourself. In many places recording without consent is against the law or company policy.
How do I share a Webex recording with someone who wasn't there?
A Webex local recording is a file, so you'd upload it somewhere first. With Screenify Studio you trim it, pick Shareable link in the export dialog, and send the URL.
