How to Record Gmail

Record Gmail tutorials without exposing private emails. Custom area capture setup, notification management, and tips for inbox workflow recordings.

When you’d need to record Gmail

1

Email workflow tutorials for teams

Record how to use Gmail filters, labels, multi-inbox, and keyboard shortcuts. Every new employee asks 'how do you manage your inbox?' — a recording answers it permanently.

2

IT onboarding for Google Workspace

Show new hires how your org uses Gmail — shared inboxes, group emails, delegation, canned responses. Record once, reuse for every onboarding cycle.

3

Bug reports for email-related issues

Record the exact email rendering problem — broken formatting, missing images, incorrect sender display. Attach the recording to the bug report instead of describing it in text.

4

Gmail extension and add-on demos

Record Gmail extensions (Streak, Boomerang, Mailtrack) in action. Show the extension UI overlaying Gmail, demonstrate the workflow, show the result.

Things to know

  • Gmail shows email subject lines, sender names, and preview text in the inbox — all potentially sensitive
  • Google Chat and Meet widgets in the sidebar show contact names and active conversations
  • Browser notifications from other Google services (Calendar, Drive) pop up over Gmail
  • Gmail's compose window is a floating overlay that can cover inbox content during recording

Step-by-step

  1. 1

In Screenify Studio, select Custom Area and drag the region over Gmail.

Drag the capture area to cover only the email thread or compose window you're demonstrating — exclude the inbox sidebar and promotional/social tabs.

  2. 2

Open Gmail in Chrome. Before recording, review your inbox — subject lines like 'Your lab results,' 'Offer letter,' or 'RE: That conversation about Dave' are all visible. Star or archive sensitive emails, or use custom area capture to crop the inbox out entirely.

  3. 3

Disable Google Chat and Meet sidebar: click the gear icon > See all settings > Chat and Meet > turn off Chat and Meet. This removes the sidebar showing your contacts and active conversations.

  4. 4

Disable browser notifications: click the lock icon in the address bar > Site Settings > Notifications > Block. This prevents Gmail desktop notifications from other threads popping up during recording.

  5. 5

Start recording. When demonstrating inbox features (filters, labels, search), you'll need to show the inbox — review it for sensitive content first. When demonstrating compose or settings, custom area cropping keeps private emails hidden.

Pro tips

Custom area capture is essential for email. Gmail's inbox is a list of every conversation you've had. Subject lines, sender names, preview text — all visible, all potentially sensitive or embarrassing. Custom area capture lets you show exactly one email thread or the compose window, nothing else.

AI Captions for IT training videos. Gmail onboarding recordings get shared to every new employee, including international offices. One-click captions in 50+ languages means your Tokyo office can follow the same tutorial as your NYC team.

Cursor highlight for hover actions. Gmail shows action buttons (archive, delete, snooze, label) only when you hover over an email row. Without cursor highlight, viewers see buttons appear from nowhere and can't tell which you clicked.

Use keyboard shortcuts and show them. Gmail has powerful shortcuts (E=archive, #=delete, L=label, /=search) but they're invisible. If using shortcuts, enable Screenify's keyboard overlay. Or stick to mouse clicks for tutorials aimed at beginners.

Common mistakes

Recording with the full inbox visible. Your inbox is a timeline of your personal and professional life. 'Amazon: Your order has shipped,' 'Doctor's office: Appointment reminder,' 'RE: Salary negotiation.' Use custom area capture or clean your inbox before recording.

Forgetting about Google Chat sidebar. Even if your inbox is clean, the Chat sidebar shows names and avatars of people you're chatting with, plus active conversation previews. Disable it in Settings or crop it out.

Demonstrating the Settings page without reviewing it. Gmail Settings > Accounts shows your linked email addresses, phone numbers, and recovery emails. Filters show every rule you've created, including ones that reference specific people by name. Review before recording.

Leaving the Promotions and Social tabs visible. These tabs show marketing emails with product names, subscription services, and social media notifications — all personal data. Switch to Primary tab only, or collapse the tabs bar.
